The two time windows
MilieuLux works Monday to Friday between 08:00 and 20:00. In practice that gives offices two windows: early morning from eight, before most desks are occupied, or the afternoon from around five. A three-hour evening visit therefore has to start by 17:00, otherwise the window is too short. Night shifts and weekend appointments are not part of the offer – if cleaning currently happens overnight, that is worth knowing before you enquire.
Access and materials
Access arrangements decide whether a recurring contract can start at all. A fob issued for the job has proved better than a master key that opens every door in the building. Handover is against a receipt showing date, number and both signatures; the return is documented the same way. Settle in advance who informs the monitoring centre after a false alarm and which number is held in the alarm log. Without that, we would rather postpone the first visit by a week.
Consumables are a small cost item and a large source of friction. Two routes work: you order them yourself and provide a lockable cupboard holding roughly four weeks of supply, or we bring the material and itemise it by consumption. Either way we report as soon as stock covers less than two weeks. Which soap, which paper and which bag size are used is your decision – the dispensers already installed largely dictate it anyway.
Start small, then extend
Do not hand over every floor at once. A single area over four to six weeks shows whether the time window, the headcount and the cycle hold up; only then is it worth extending to the rest. There is no minimum order value, so a small start carries no surcharge. The one thing to watch is bundling: the travel flat rate arises per working day and per job. Two floors on one day rather than two days save that item entirely.
The bin, not the desk
In administrations and law firms the sensitive part is not on the desk but in the wastepaper basket. Decide what happens to confidential waste containers and shredders – without explicit clearance we do not empty them. The same applies to rooms holding personnel files, job applications or citizens’ data: they are either excluded or worked on only while somebody from your organisation is present. That allocation belongs in the plan, otherwise it is renegotiated with every change of staff.
How the invoice adds up
For budgeting, the arithmetic matters more than the hourly rate. We invoice the hours actually worked per person deployed; the travel flat rate, by contrast, arises per working day and per job. With three visits a week it therefore arises three times, whether one person attends or three. That produces a monthly figure you can verify yourself, instead of a lump sum nobody explains.
When you change provider
When changing supplier, read the existing agreement before terminating it: it often contains a notice period ending with the quarter and a clause on returning keys. Avoid an overlap week in which both firms attend – it produces no better result, only a second journey. A clear cut-off date works better, together with a slightly longer first visit, because a building taken over almost always brings corners the previous plan left out.

An office floor of 250 square metres with 18 workstations, two washroom units and a kitchenette. Two people work three hours each, on three days a week starting at 17:00: washrooms and kitchenette every time, circulation areas twice, desks once.

How do we hand over the key?
Against a receipt showing the date, the key number and both signatures. A fob issued for the job is preferable to a master key. The alarm code, the monitoring centre and the reporting chain after a false alarm appear in the same document. The return at the end of the contract is receipted in the same way.
Can we start with a single floor?
Yes, and it is the route we recommend. Four to six weeks on one area show whether the cycle and the hours allowed hold up. After that the plan is extended to the remaining floors. There is no minimum order value, so a small start carries no surcharge.
How do we turn that into a monthly budget?
Multiply people by hours by visits. Cleaning work costs €25 per person and working hour, plus €18 per working day and job – not per person. A site visit booked separately, with no job following, costs €40. No VAT is charged, in accordance with § 19 of the German VAT Act.
Who provides soap, paper and bin liners?
Either arrangement works. You order and store the material, in which case we restock and report low levels in good time. Or we bring it and itemise it by consumption. What matters is that the question is answered before the first visit.
Do you also clean screens and server rooms?
Screens and keyboards only with explicit clearance and with no moisture on the equipment. Server rooms and technical cabinets stay out of scope. What may be entered and touched is recorded before the first visit rather than decided on the day.
