With those five details a reliable time range can be quoted. Without them, every offer is a guess that has to be corrected within a month.
Many practices employ their own cleaner and only discover during holidays or sickness that there is no cover. Outsourcing shifts that risk, but it demands one round of genuine coordination: the routine has to be written down instead of passed on by word of mouth. With two or three treatment rooms, an in-house cleaner may well remain the simpler answer. From about four rooms with daily cleaning, it weighs more heavily that cover, materials and briefing no longer rest with you.

What your hygiene plan covers
Your hygiene plan is the basis, not our offer. Under German infection protection law, practices must set out their internal infection-hygiene procedures in writing. That document already states which surface is treated with which product and for how long. For an enquiry, the extract on externally cleaned areas is enough. From it we take what is permitted without a special qualification, and mark the lines that stay with your team.
When we can come
The hardest point is rarely the scope but the clock. A practice with surgery hours until 18:00 needs a binding start at 18:30 — not a window between 18:00 and 20:00. Where hours are split, the midday break is sometimes the quieter slot, yet rarely long enough for every room. A fixed start time per weekday, together with its exceptions, works better: an early Friday closing, or a Wednesday reserved for procedures.
Who does what
For dividing up the work, one simple exercise helps: have your team record for a week what it already does at the end of the day. The list usually contains the treatment unit, the work surfaces beside it, the reprocessing room and reception with its screens. Whatever is missing from that list is the area we should be talking about. That avoids the two most common errors — surfaces cleaned twice, and corners each side assumes the other covers.
Dental practices differ from general ones in three respects. First, aerosol reaches wall surfaces and lamp arms around the treatment position; that zone stays with the team. Second, the reprocessing room may be entered by external staff only with explicit clearance, and then only for the floor and cleared surfaces. Third, suction systems, amalgam separators and autoclaves run under maintenance contracts — rinse cycles and servicing are not cleaning work.
Confidentiality and contacts
Because patient data is constantly on view, many practices ask the deployed staff to sign a confidentiality declaration. We sign it. What matters more in practice is that the group of people stays small and you know who is coming. Name one contact and one deputy for this, usually the practice manager and an assistant. Everything else runs through those two: briefing, handover of keys or fobs, feedback on surfaces and short-notice changes.
What we do not do
Three tasks cause misunderstandings again and again, so plainly: sharps containers are neither emptied nor replaced, infectious waste stays entirely within your own disposal route, and instruments are not touched — not even to move them aside. Nor do we carry out repairs: a loose door handle or a dripping cistern is reported, not fixed. Snow clearing at the practice entrance and façade cleaning are not part of the offer and are not brokered either.
Billing and service area
Billing follows the working hours of each person deployed: €25 per person and working hour, plus €18 per working day and job. No VAT is charged, in accordance with § 19 of the German VAT Act. Travel costs do not arise per person, which makes a difference when two people work in parallel. There is no minimum order value; two appointments a week in a small practice are perfectly possible. Starting with four weeks and adjusting together afterwards is the sensible route.

Five appointments mean five working days; the travel flat rate applies per working day and job, not per person. More time is needed where the waiting area is carpeted, where there is a second waiting zone, or where rooms have to be cleared first. Less is enough if treatment rooms are only in use on three days.
What a working hour means
Billing is per person on site and per hour worked. Two people working three hours makes six working hours.

Frequently asked questions
Why do two people come rather than one?
Because the slot after surgery hours is limited. One person alone would need roughly twice as long for four treatment rooms, and the building would stay open accordingly longer. In small practices with two rooms, one person makes more sense.
Can we start with one appointment a week and increase later?
Yes, that is the usual route for newly opened practices. Just bear in mind that each additional weekday is another working day, and the travel flat rate applies per working day. From three appointments a week it pays to assign long-interval tasks to particular days.
Do we need a site visit before receiving an offer?
Usually not. A room list with floor coverings, a few photos of the waiting and washroom areas and your surgery hours are enough for a time range. If you would still like a site visit and no order follows from it, it costs a flat €40. If an order follows, that amount does not apply.
Who provides the disinfectants and cleaning products?
If your hygiene plan specifies particular preparations, the practice provides them and we work with those; nothing is charged for that. Where there is no specification, we bring suitable products. We will not use a product whose suitability for a surface we cannot judge.
What happens if our surgery hours overrun?
Let us know during the afternoon if possible; the start can then usually be pushed back by thirty to sixty minutes. Shorter-notice changes depend on whether another job follows the same evening. If an appointment is cancelled entirely, it is not invoiced but made up by arrangement.
Do you also clean the stairwell if the practice is in a residential building?
The stairwell is normally covered by the building management’s contract, not yours. A separate order is possible but has to be agreed with the owner or the managing agent. It is usually more practical to include only the access corridor and the practice door in the plan.
